Welcome Reception – Tuesday 19 September, Cairns

Take this opportunity to meet and catch up with your peers in a social environment at the ARSC 2023 Welcome Reception. If you have purchased a Full in-person Registration, this ticket will be included in your registration fee. Additional tickets can be purchased for partners and guests via the online registration form.

Conference Gala Dinner – Wednesday 20 September, Cairns Convention Centre

Celebrate with your industry peers at the Australasian Road Safety Conference Dinner and ACRS Awards Ceremony. It will be a night of delicious food and entertainment not to be missed. If you have purchased a Full in-person Registration, your ticket is included in your registration fee. You may also purchase additional tickets for partners and guests via the online registration form.

Road Safety Trivia Night – Save the date!

Kick off the conference by being part of the inaugural Road Safety Trivia Night.

It will be a fun filled evening of road safety trivia along with bonus rounds of general trivia, challenges and games.

Food and drinks will be included, and it will be a great opportunity to meet other conference delegates in a spectacular setting.

Member Rate

To access member registration rates, you must be a financial member of the ACRS (Australasian College of Road Safety) at the time of registration.

Student Registration

To qualify for the student rate, you must be able to provide proof of your full-time student status (student card or enrolment confirmation) at the time of registration.

Advocate Registration

Available until close of Early Bird which is 31 July 2023. The advocate rate is intended for volunteer advocates and/or those working for not for profit organisations. Numbers will be limited to 2 per organisation and Advocates will need to be signed off by ACRS upon completing the registration process. Acceptance is at their discretion and there are limited advocate registrations available. We will be in touch once approval has been granted.

Payment Deadlines

Registration received by 31 July 2023 must be paid in full by 31 July 2023 in order to receive the Early Bird Registration Rate.

Registration Conditions

Early Bird Registrations that remain unpaid at 31 July 2023 will be automatically increased to the standard registration rate.

By registering or attending this event, registrants give permission for their:

  • Contact details to be provided to confirmed sponsors or exhibitors of ARSC 2023.
  • By registering, attending or viewing this event, registrants and attendees agree not to rebroadcast, re-transmit, record or share any of the content of this event without express written permission from the conference organisers.
  • The conference organisers reserve the right to reject and refuse any registrations and attendance at this event for any reason and at any time.
  • Images captured during the event through video, livestream and/or photo to be used in promotional and commercial materials, publications and on related websites.
  • Contact information to be included in newsletter lists and any further correspondence for future conferences.

Method of Payment

Registration can only be confirmed once payment is received.

Payment can be made by any of the following methods:

Credit card: Visa, MasterCard and American Express are accepted. Please note credit card fees apply. If paying by Visa or MasterCard a 3% credit card fee applies. If paying by American Express a 3.5% credit card fee applies. Fees will be applied on the payment section of the registration form. If you are making a credit card payment from a country outside Australia, for security reasons you must first advise your banking institution of the impending charge and authorise them to allow the charge to Australia to go through. Please note that charges to your credit card will appear as being from “ICMS Australasia Pty Ltd” on your bank statement.

Bank transfer: Please include your surname in the transfer and email the transfer receipt (remittance) to the Secretariat tygerfh@icmsaust.com.au.

A pay later option and purchase order option are also available via the online registration form. If these payment methods are selected, you will be sent a tax invoice for payment.

Cancellation & Refund Policy

Deadline: 9 August 2023

Cancellations (partial or full) must be made in writing to the Conference Secretariat. Cancellations for in-person registrations made up until 30 days out from the conference (20 August 2023) will result in a full refund less $150 to cover administration costs.

Cancellations made between 30 – 14 days out from the conference (5 September) will result in a refund less 50% of the total paid. Cancellations made within 14 days of the conference will not receive a refund. As an alternative to cancellation, your registration may be transferred to another person by 5 September, without incurring any cost penalty. The host reserves final decision on a case-by-case basis for granting a cancellation in extenuating circumstances. It is recommended that travel insurance be secured personally upon registering. The Conference Secretariat must be advised in writing of any alterations or transfers of registrations. Should you wish to switch your F2F registration to Virtual or vice versa, this can be done up until 1 September 2023.

International Borders

Insurance

Registration fees do not include insurance of any kind. It is strongly recommended that all delegates take out their own travel insurance and medical insurance prior to the conference. The policy should include loss of fees through cancellation of your participation in the conference itself, loss of airfares for any reason, medical expenses and repatriation should travel arrangements have to be altered. In the event of industrial disruptions or natural disasters the conference secretariat cannot accept responsibility for any financial or other losses incurred by delegates. Nor can the secretariat take responsibility for injury or damage to property or persons occurring during the conference or associated activities.

Insurance is the responsibility of the individual delegate.

The Conference and its agents reserve the right to alter without prior notice, any of the arrangements, timetables, plans or other items relating to the meeting, for any cause beyond its reasonable control. The Host and the Conference Organisers are not liable for any loss or inconvenience caused as a result of such alteration. In the event of unforeseen circumstances, the Host and the Conference Organisers do not accept responsibility for loss of monies caused by delays. Participants are advised to take out personal travel insurance and to extend their policy to cover personal possessions. The Conference does not cover individuals against cancellations of bookings or theft or damage to belongings.
